ExecutiveAssistant

  • POSITION: Executive Assistant
  • STATUS: Independent Contractor position (Remote)
  • COMMITMENT: Starting at approximately 30 hours / week
  • START DATE: Immediately

Overview

We are looking for an experienced Executive Assistant with a ‘get it done’ attitude.  The ideal candidate will have exceptional organizational and communication skills, strong attention to detail, and a strong sense of urgency.

Responsibilities

Collaborate with Evan:

  • Work closely with Evan to prioritize tasks and appointments. 
  • Keep running list of ideas that Evan would like to implement or look into.
  • Keep track of overall status of tasks/main projects and update Evan.

Manage Evan’s email

  • Respond to incoming requests using Buy Back Your Time Email GPS System
  • Research solutions and book appointments both professional and personal.

Manage Evan's calendar & schedule:

  • Send Evan an overview each morning or end of day so that he is aware of his schedule.
  • Have knowledge of Evan’s openings/time slotted to complete certain tasks and ensure booked on the calendar.
  • Block off time to focus on batch tasks.

Task Management for Evan

  • Create tasks for Evan and fill with information/details needed to set him up for success.
  • Setup new documents and format as needed.

Google Doc and Drive Management

  • Keep Evan’s drive organized on a weekly basis for easy navigation.
  • Go through and ensure all comments are input into the proper Asana task and new tasks are created as needed.
  • Format doc templates for Evan to work on.

Sync meetings with repeat agenda:

  • Off-load – my own list of to dos, action items, follow ups – dump them on assistant who takes it from there.
  • Calendar review for next two weeks. What’s added/removed/refined
  • Past meetings – review action items from them
  • My action items that I need to complete – need supporting documents/links in advance
  • Feedback loop on projects so she can update me on progress, roadblocks, did this get done
  • Emails to review
  • Questions

Communication Management:

  • Respond to emails, messages, and calls from clients promptly and professionally.
  • Filter and prioritize communications, forwarding important ones to the executive’s attention.
  • Draft and send emails on behalf of the executive.

  • You are a problem solver who will ask questions when you don’t understand something.
  • You are improvement-oriented – have ideas, follow data, and can figure out how to make things better.
  • You are communicative/responsible – you do what you say on time, and will communicate regularly if there’s a delay. (This may be most important!)
  • Must be in North America and have availability between 9am – 5pm Pacific.

Compensation​

  • This is an independent contractor position. 
  • Estimated time commitment is approximately 30 hours per week. 
  • Compensation is based on experience and will be negotiated with the successful candidate.
